Terms and Conditions of Service
These Terms and Conditions (“Terms”) outline the rules and responsibilities governing the use of services provided by Bubble Tea Catering UK (“we”, “us”, “our”, or “the Company”).
By making a booking, confirming a quote, or using any of our catering services, you (“the Client”, “you”, “your”) agree to comply with and be bound by these Terms.
Please read them carefully before confirming your booking. If you do not agree with any part of these Terms, you should not proceed with a booking or engage our services.

These Terms apply to all services offered under the Bubble Tea Catering UK brand.
Service Description
We provide mobile bubble tea catering including, but not limited to:
- On-site bubble tea preparation and service
- Staffed bubble tea bars for events and functions
- Equipment hire, including bar setups and service stations
- Supply of tea bases, toppings, and ingredients
- Setup, operation, and breakdown of catering stations
Our services may be customised based on the Client’s event size, location, and requirements.
All quotes are issued in writing and are valid for 14 days unless stated otherwise.
Booking Process
A booking is considered confirmed only once:
- The Client has accepted a written quotation provided by Bubble Tea Catering UK, and
- A deposit (as specified in the quotation) has been received and acknowledged by us in writing.
Once a booking is confirmed, these Terms become legally binding.
Provisional Bookings
Provisional bookings will be held for up to 7 days. If no deposit is received within that time, the date may be released to another client.
Pricing and Payment Terms
All prices are quoted in GBP (£) and are subject to VAT where applicable.
Deposits
A non-refundable deposit (typically 30–50% of the total quoted amount) is required to secure your booking. This deposit confirms your event date and covers initial preparation, staffing, and stock planning.
Final Payment
Full payment must be made no later than 7 days before the event date, unless otherwise agreed in writing. If payment is not received by this time, we reserve the right to cancel the booking and retain the deposit.
Payment Methods
We accept payment via:
- Bank transfer
- Credit or debit card (via secure payment link)
- Invoice payment for approved corporate clients
Late Payments
Late payments may incur an administrative charge of £25 and may delay service confirmation. Continued non-payment may result in cancellation and potential legal recovery of outstanding amounts.
Cancellations and Refunds
Client Cancellations
Cancellations must be made in writing (by email). Refund eligibility is based on the notice period before the event date:
- 30+ days’ notice: Deposit retained; remaining balance refunded.
- 15–29 days’ notice: 50% of total booking fee retained.
- 0–14 days’ notice: 100% of total booking fee retained.
Deposits are non-refundable under any circumstances once booking confirmation has been issued.
Company Cancellations
In the unlikely event that we must cancel due to unforeseen circumstances (e.g., illness, equipment failure, or extreme weather), we will:
- Provide as much notice as possible, and
- Offer a full refund of any payments received, or
- Provide alternative service dates or arrangements where possible.
We will not be liable for additional costs or damages incurred as a result of cancellation beyond the refund of direct payments made to us.
Event Changes and Adjustments
If the Client requests changes (such as guest count, location, or timing), we will accommodate these whenever possible. Any alterations must be confirmed at least 7 days before the event.
Changes made within 7 days may incur additional charges, particularly where stock, staff, or logistics are affected.
Travel and Venue Access
We operate nationwide across the UK. Travel costs are included in most quotes but may vary for remote locations or difficult access sites.
The Client is responsible for ensuring that:
- Adequate access is provided for loading and unloading equipment
- Safe parking or drop-off zones are available
- Any required venue permissions, licenses, or restrictions are communicated in advance
If access is delayed or restricted, service start time may be affected. No refunds or discounts will be provided for delays outside our control.
Setup, Service, and Equipment
We arrive at least 60–90 minutes before service start time to complete setup.
All equipment, ingredients, and service materials remain the property of Bubble Tea Catering UK. Clients are not permitted to move, adjust, or operate equipment without permission.
Any loss or damage to company property caused by guests, staff, or venue negligence may result in repair or replacement charges.
Health and Safety
We comply with all UK food hygiene, health, and safety regulations.
All staff hold Level 2 or higher Food Hygiene Certificates and are trained in allergen awareness, safe food handling, and crowd management.
The Client must ensure the event location is safe and suitable for food service, with appropriate space, ventilation, and crowd access.
If we believe the setup area poses safety or hygiene risks, we reserve the right to alter or refuse service until conditions are resolved.
Food Allergies and Dietary Requirements
We take allergies seriously.
All toppings and ingredients used in our bubble tea catering are clearly labelled with allergen information.
The Client must inform us in advance of any known dietary or allergen requirements among guests. While we take all reasonable precautions, cross-contamination may occur, and we cannot guarantee an allergen-free environment.
Bubble Tea Catering UK accepts no liability for allergic reactions if full disclosure of guest requirements was not made in writing before the event.
Event Timings and Delays
We plan setup and service times carefully according to event schedules.
If service is delayed due to circumstances beyond our control — including venue access issues, guest lateness, or weather — we will adapt where possible but cannot guarantee full service time extension.
Additional time may be arranged in advance for a pre-agreed hourly rate.
Client Responsibilities
The Client agrees to:
- Provide accurate information about the event (date, location, guest numbers, timings)
- Obtain any necessary venue permissions or licenses
- Ensure adequate event space and access
- Communicate any changes or restrictions in advance
- Treat staff with respect and professionalism
Failure to meet these responsibilities may result in service disruption without refund.
Liability and Insurance
Bubble Tea Catering UK carries Public Liability Insurance up to £5 million, covering all services performed at events.
We are not liable for:
- Delays or cancellations caused by circumstances beyond our control (e.g., extreme weather, traffic, strikes, or venue restrictions)
- Damage to property caused by third parties, guests, or venue conditions
- Financial loss, indirect damages, or reputational harm resulting from event disruptions
Our total liability under these Terms is limited to the total amount paid by the Client for the service in question.
Data Protection
We comply with the UK GDPR and Data Protection Act 2018. Personal data collected during the booking process will be processed and stored in accordance with our Privacy Policy.
Information is used solely for the purpose of managing bookings, coordinating events, and maintaining communication with clients.
We do not sell, rent, or share your data with third parties without lawful basis.
Photography and Marketing Use
From time to time, we may take photographs or short video clips of our setups or staff in action for promotional purposes.
We will never photograph identifiable guests without verbal consent.
If you do not wish your event or setup to be featured in our marketing materials, please inform us in writing prior to your event.
Force Majeure
We are not liable for any failure or delay in performance due to causes beyond our reasonable control, including but not limited to:
- Natural disasters, extreme weather, or fire
- Government restrictions or public health emergencies
- Transport or supply disruptions
- Labour disputes or strikes
- Utility failures or venue-related issues
In such circumstances, we will make every reasonable effort to fulfil the booking or reschedule without penalty.
Complaints and Disputes
We aim to deliver high-quality service and customer satisfaction at all times.
If you are dissatisfied with any aspect of our service, please notify our on-site team immediately so we can address it in real time.
Formal complaints must be submitted in writing within 7 days of the event. We will investigate and respond within 14 days of receiving your complaint.
If a dispute cannot be resolved directly, both parties agree to pursue mediation before considering legal proceedings.
Governing Law and Jurisdiction
These Terms and Conditions are governed by and construed in accordance with the laws of England and Wales.
Any disputes arising under or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
Amendments to These Terms
We reserve the right to update or modify these Terms at any time. Changes will take effect once published on our website.
Continued use of our services or acceptance of quotes after updates constitutes acceptance of the revised Terms.
Entire Agreement
These Terms, together with any confirmed quotation or written correspondence between the parties, constitute the entire agreement between the Client and Bubble Tea Catering UK.
No other verbal or written agreements shall apply unless expressly agreed in writing.
