EVENT PLANNING & QUOTES
Bubble Tea Catering London
Staffed bubble tea bars for London office celebrations, receptions and exhibition briefs — planned around access, approvals and peak service, subject to availability.
Illustrative bar concept, not a photograph of a client event.
Plan a London drinks station around the event, not just the postcode
Bubble tea catering in London can serve an office celebration, launch reception or exhibition stand, but each brief needs a different access and serving plan. Share the venue, date and timetable so we can confirm availability and the proposed setup before you commit. A London enquiry is not a guarantee of access to every building or an approved-supplier arrangement.
Choose the format before choosing the menu
- Staffed mobile bar: discuss drinks prepared and served at the station, the menu, stock allocation, staff and pack-down responsibilities. Useful when the drinks experience is part of the event.
- Prepared drinks or drop-off: ask whether this format is available for your brief. Confirm preparation timing, storage, temperature handling, labelling, handover and who serves. Delivery does not automatically include a staffed station.
- Hosted drinks or direct sale: tell us whether the organiser funds an agreed drink allocation or guests would pay individually. Direct sales require separate confirmation of permissions, payment arrangements and commercial terms; they are not a default offering.
Use the event quote methodology to compare inclusions rather than compare an unsupported headline price.
London office celebrations and reception events
A headquarters office party may need a loading slot, a goods lift and named crew admitted by reception. Send the floor, lift dimensions or restrictions, trolley route and building contact. Keep the station and guest queue away from reception desks, accessible routes and fire exits. For a reception following a meeting, share when the room empties so peak demand can be planned rather than averaged across the whole booking.
Our corporate event brief checklist covers menu approval, staffing, artwork and purchase-order requirements. For neighbourhood-specific planning, see Westminster, Chelsea and Knightsbridge.
Exhibitions at ExCeL or Olympia: approval comes first
If you are enquiring about a stand at ExCeL London or Olympia, send the show name, stand number, exhibitor manual and organiser contact. Ask the organiser about outside catering permissions, sampling rules, any venue caterer restrictions and the documents required. Mentioning these venues is planning context, not a claim that we are their partner or approved supplier.
- Book permitted loading and unloading windows, crew passes and vehicle access through the event organiser.
- Confirm the usable stand footprint, preparation area, queue position, storage and waste arrangements.
- Coordinate power and water requirements with the venue; do not assume an AV socket can also supply catering equipment.
- Keep service clear of demonstrations, presentation audio and visitor circulation. Share expected conference-break or launch peaks.
- Agree service start, final drinks, stock reconciliation and the deadline for clearing the stand.
Access zones, security and arrival planning
Provide the loading address as well as the public entrance: they may be different. Identify parking restrictions, timed bays, delivery gates, stairs and lift bookings. Ask the team to account for route-specific congestion or emissions-zone charges where applicable; no charge is assumed for every journey. Agree who meets the crew and how late access, a blocked bay or a security delay is escalated.
For launches, discuss promotional bar planning: brand artwork, approvals, signage, cup options and reporting requirements must be agreed rather than assumed included.
Indoor and outdoor service need different checks
Indoors, confirm utilities, floor protection, spill management and preparation space with the venue. Outdoors, assess a level surface, suitable weather cover, safe power arrangements, wind exposure and an agreed weather contingency. A garden, courtyard or festival site is subject to a workable access and safety plan, not an automatic yes.
Plan the peak, not just the attendance
Attendance is not a drinks order. Specify planned servings, repeat drinks and when guests arrive. If 300 attendees each want a drink during a 30-minute break, the demand is 600 drinks per hour. That is an illustrative planning calculation, not a capacity promise. Menu complexity, stations, staffing and the service format need to be reviewed against the peak.
A documented Pearl Lemon Group example
Pearl Lemon Group publishes an ITV bubble tea drop-off case study attributed to Pearl Lemon Catering. It describes drinks prepared ahead and staff staying to explain flavours. This is the group's own account, not evidence that Bubbleteacatering.uk delivered the work; it does not establish current drop-off availability or a turnaround guarantee.
Send a brief that can become a clear quote
Include date, postcode, building or show name, guest count, drinks allocation, peak serving times, indoor/outdoor setting and the access contact. Menu preferences, dietary requirements, a working budget and your preferred format are helpful but optional. Ask the team to confirm feasibility, travel, equipment and written inclusions.
London event questions
Frequently Asked Questions
Do you cover every London postcode?
Send the venue postcode and date. Availability, travel and venue permissions are confirmed for the individual brief; this page is not a blanket coverage guarantee.
Can you work at ExCeL or Olympia?
Ask the organiser about outside caterers and send the exhibitor manual. Any proposal depends on permissions, access, utilities and documentation; no venue partnership is claimed.
Is prepared-drink delivery available?
It is an option to ask about, subject to confirmation. Agree storage, handover, serving responsibility and the menu before booking.
Are halal or vegan drinks guaranteed?
No blanket guarantee is made. Share dietary needs and ask for the ingredient, topping, supplier certification and cross-contact information relevant to the agreed menu.
How much space and setup time do you need?
Send dimensions, loading route and building restrictions. The team should confirm the selected equipment footprint, utilities, arrival slot and setup/pack-down schedule in writing.
